Guide to Distribution

Customers, orders, preparation, deliveries and returns.

For distributors, warehouses and delivery managers. Updated: 7 October 2026

GUIDE 01

Prepare customers and products

  1. Register the customer and delivery branches.
  2. Complete address and contacts, with coordinates when available.
  3. Prepare products, units and warehouses in Inventory.
  4. Verify stock and descriptions.

State what each box or package contains in the product description.

GUIDE 02

Create and prepare an order

  1. Open New order and choose customer, branch and warehouse.
  2. Add products and quantities with the correct unit.
  3. Check availability and save the order.
  4. Confirm preparation once the goods are ready.

Reservation does not mean physical warehouse dispatch.

GUIDE 03

Dispatch and record delivery

  1. Dispatch the prepared order with a vehicle and responsible person.
  2. Authorized users view their assigned orders.
  3. Record actual quantities, recipient and delivery result.
  4. Specify differences and reasons for partial or rejected deliveries.

Dispatch records an Inventory issue. Do not mark goods as delivered if the customer did not receive them.

GUIDE 04

Receive returns

  1. Open an order with goods awaiting return.
  2. Verify which products physically returned to the warehouse.
  3. Record quantities and observations through the authorized action.
  4. Check history and stock after confirming receipt.

Rejection at the destination does not automatically restore goods to warehouse stock.
